Office Administrator

Office Administrator Job Purpose:

Ensures proper flow of office procedures, and supports the office directors by carrying out common office duties. Maintains a positive and friendly company image by acting as the first line of contact to visitors, customers and vendors in person, online, and via telephone.

Office Administrator Job Duties:

• Communicates with relevant agencies to produce travel itineraries for business directors and employee events

• Arranges meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments

• Manages correspondence by answering emails and sorting mail

• Assists in planning and arranging events, including organising catering

• Handles expenses and billing cycles

• Manages reception area and looks after visitors

• Answers phone calls and transfers them as necessary

• Drafts, formats, and prints relevant documents

• Maintains stock lists and orders office supplies as needed

• Manages staff expense requests

• Interacts with directors and carries out their requests

• Creates agendas and takes meeting notes

• Assists in purchase orders and invoicing

• Maintains accurate records for employee holiday requests

• Manages outgoing post and records data on special deliveries

• Photocopies and files appropriate documents as needed

• Attends workshops and conferences when requested

• May take care of website functions and social media profiles

Office Administrator Skills and Qualifications:

Prior Office Management Experience Preferred; Strong Attention to Detail; Ability to Work Without Supervision; Excellent Time Management Skills; Exceptional Communication and Customer Service Skills; Technical Skills, Including Proficiency With Microsoft Office Programs; Strong Prioritisation and Organisation Skills; Ability to Handle Confidential Information; Strong Record Keeping Skills; Presentation Skills, Including Welcoming Guests to Events; Ability to Multitask.

Companion Role

Definition: assistant, co-worker, fellow worker, helpmate, associate, aide, supporter, collaborator (a person who works jointly on an activity or project)

 

Purpose: The role is to keep clients independent in their own home and to enrich their quality of life.

 

The Friends for Needs (FFN) employee needs to establish “the way” of the clients. Staff are to assist clients in their own home and must remember that we are guests in their home.

 

Salary: To be discussed at interview.

 

Location: To be agreed prior to work.

 

Tasks (in the home): general household chores, meal preparation, making and changing of bedding, laundry, playing of games, watching film etc…, listening to music, and general conversation.

 

(Out and about) Clients outings may include a visit to a coffee shop, garden centre, going to a restaurant. Walks in the park, beach or woodland areas. Specific appointments such as doctors, dentist, hospital, hairdressers or sporting events. Shopping trips (including grocery). Must have a full driving licence and use of car with business insurance.

 

 

Ideal candidate:

 

1, Communication skills

 

The ability to communicate clearly and effectively both verbally and written is required for this role. Key is to be listening. Staff will need the ability to follow directions and provide feedback where required.

 

2, Honesty and reliability

 

Trust is very important to FFN, make a mistake? (we all do!) Don’t cover it up, admit it, and learn not to do it again.

 

3, Caring and empathetic nature

 

Have a natural interest in people, with the added ability to understand the client’s situation/s.

 

4, Work ethic

 

Be on time, meet targets and deadlines and work to the best of one’s ability.

 

5, Flexibility and adaptability

 

Employees need to react quickly to changing conditions and situations.

 

6, Determination and persistence

 

To be able to work hard and keep moving forward when you encounter obstacles

7, Ability to work in harmony with Clients

 

Must be able to get along and be effective in different circumstances

Motivated and who will take on challenges. Employees should see when something needs to be done and react accordingly.

 

 

Other observations:

 

Employees may work alone with their clients much of the time. If a client is having issues or concerns they need to talk about, the companion can lend a listening ear. Any serious concerns need to be reported to the office as soon as possible.

 

Experience:

 

Is advantageous but not essential as we provide full training. Recognized training qualifications will be discussed.
